1. EMPLOYEE SELF-SERVICE
This allow employees to access the system and view their profile, request for profile changes as well as allow for online access to facilities like:
· Personal information viewing
· Personal profile change request
· Leave application
· Leave profile viewing
· Payslips download
· Performance objectives setting
· Performance appraisal
· Issue items alerts
· Announcements
2. DASHBOARD
This module manages the following information:
· Contract Alerts Management: the system keeps track of the contracts that are due to expire within one, two and three months with use of different color codes.
· Probation Alerts Management: the system keeps track of the employee who are on probation that are due to expire within one, two and three months with use of different color codes.
· Retirement Alerts Management: the system keeps track of the employees who are due to retire with use of different color codes.
· Employee Birthday Alerts Management: the system keeps track of the employees’ birthdays.
· Downloadable Items: allows for documents to be downloaded from the different categories created.
3. POSITIONS MODULE
This module manages the following information:
· Positions: the system keeps track of the available, occupied & vacant positions within the organization for various reasons
· Organization structure; this shows the reporting structure of the organization
· Organization chart: this shows the organization’s hierarchy
4. RECRUITMENT MODULE
· Vacancy posting
· Job applications
· CV retrieving
· Shortlisting
· Testing
· Response to candidates
5. EMPLOYEE MODULE
This module manages the employees’ data which includes:
· Employee bio-data: names, marital status, gender, employment number, employment status, designation, grade, employment date, date of birth, pay details, nationality and so on.
· Academic history: contains information on the institutions attended as well as qualifications attained.
· Employment history: it has information on the previous employment, positions held, period of working, salary and reasons for leaving
· Professional qualifications: contains information on the institutions attended as well as qualifications attained.
· Identification Numbers: captures the employee’s PIN, Identity No, NSSF, driving license, work permit
· Employee Photo Management: enables the capturing of employee photos
· Staff Movement: lists the career progression of the employee within the organization
· Employee Dependant’s Management: captures the employee’s dependants
· Employee’s next of kin Management: captures the employee’s next of kin.
· Terminated Employees: captures the employees who have been terminated listing the date, reason, job title and department
6. DISCIPLINE MODULE
This module manages & monitors the various disciplinary issues:-
· Incidents: these are the disciplinary issues that come up. The system captures date, type of incident (poor performance, misconduct and so on.)
· Discipline manager and action: this shows the manager in-charge of disciplining the employee and action taken (suspension, verbal caution etc).
7. APPRAISAL MODULE
This module manages the performance appraisals for employees:
· Appraisal forms: the system contains the appraisal that can be filed online.
· Position objectives: this highlights the objectives of the particular position within the organization
· Key performance indicators: this gives the key performance indicators as well as the targets to meet them
· Appraise employee: this is the actual appraisal of the employee.
8. LEAVE MODULE
This manages the following information:
· Leave application: this shows the employees who have applied for leave, start and return dates & their status.
· Leave approval: this shows the approved leave. This has different tier levels of approvals.
· Company/institution Leave status: this shows the company/instituition leave obligation to its employees. it shows all the pending leave days. It can be used to calculate the leave liability to the organization.
9. TRAINING MODULE
This captures:
· Training profile: this maintains the training history of the employees
· Training plan: this captures the training timetable
· Employee nomination for training: this facilitates the selection of employees who will attend the training, picking of the courses, setting of the dates and locations
10. BENEFITS MODULE
This manages the following information:
· Benefit Management: enables the capturing of the various company benefits
· Benefit assign: allows the various benefits to be allocated the employee’s
11. ISSUED ITEMS MODULE
This manages the following information:
· Items Management: enables the capturing of the various company items within the organization e.g. telephones, laptops etc
· Issued items alerts: highlights the items that have been issued to employee’s and their return date
· Items Summary: list the number of the company’s issued items
·
12. ANNOUNCEMENTS
This allows the HR managers of the system to post announcements to the users of the system. One can set the period for the notice upon which the notice will expire.
13. PAYROLL
Integrated payroll system linked to HRIS.
13. REPORTS
The system allows users to create reports that are customizable to suit specific needs.
Reports can be exported to MS Excel.
14. SYSTEM CONFIGURATION & SECURITY
This enables the HR managers of the system to create and manage the static data of the system such as education awards, course types, banks, bank branches, departments, locations etc. The security structure of the system allows for different user levels, which are determined by the user passwords. The users are assigned rights according to their levels. This ensures that data integrity and confidentiality is maintained.
